Introduction
PlanBuild (“we”, “us”, “our”, “the Company”) operates the website at planbuildus.com and provides kitchen and bathroom design-build services in Pennsylvania. This Privacy Policy describes how we collect, use, share, and protect information about you when you visit our website, contact us, or use our services.
We are committed to protecting your privacy and being transparent about our practices. This policy applies to information collected through our website, phone calls, emails, text messages, in-person consultations, and any project we complete for you.
By using our website or engaging with our services, you agree to the collection and use of information in accordance with this policy. If you do not agree with our practices, please do not use our website or services.
- Section 02
Information We Collect
We collect information in three ways: information you provide directly, information collected automatically, and information from third parties.
Information You Provide Directly
- Contact information: Name, phone number, WhatsApp number, email address, and residential or project location provided when you submit an inquiry form, request a consultation, or contact us directly.
- Project details: Information about your kitchen or bathroom project, including space size, style preferences, timeline, budget range (if shared), and any specific requirements.
- Communication records: Copies of phone conversations (call logs), WhatsApp messages, emails, and in-person consultation notes.
- Payment information: For active clients, billing details and payment information are collected securely by our payment processors — we do not store full credit card numbers on our systems.
- Photos and site information: Photos of your existing space, floor plans, and any documentation you share during design and construction.
Information Collected Automatically
- Device and usage information: IP address, browser type, operating system, referring website, pages visited, time spent on pages, and general location (city/state level).
- Cookies and tracking: Session cookies, analytics cookies, and similar technologies.
Information from Third Parties
- Referrals: If you're referred to us by an existing client, designer, or partner, we may receive your name and contact information from them (with their assurance that you're expecting our call).
- Public records: For property information related to your project (address, parcel details, permit history), we may reference public county records.
- Financing partners: If you apply for financing through our partner lenders, they may share application status with us (but not the details of your credit assessment).
- Section 03
How We Use Your Information
We use the information we collect for specific business purposes, including:
- Delivering our services: Scheduling consultations, preparing quotes, designing your project, ordering materials, coordinating construction, and managing warranty service.
- Communication: Responding to your inquiries, providing project updates, scheduling appointments, sending invoices, and answering questions.
- Business operations: Processing payments, maintaining project records, managing subcontractor and supplier relationships, and internal reporting.
- Marketing (with your consent): Sending occasional updates about our services, seasonal reminders, or promotions. You can opt out at any time.
- Website improvement: Analyzing site usage to improve our content, layout, and user experience.
- Legal compliance: Meeting our obligations under Pennsylvania law, federal law, tax reporting, permit filings, and insurance requirements.
- Fraud prevention and security: Protecting our systems, verifying identities where necessary, and preventing unauthorized access.
We will not use your personal information for purposes materially different from those listed here without notifying you first.
- Section 04
How We Share Your Information
We do not sell your personal information to anyone. We share information only in limited circumstances:
With Service Providers
We share limited information with vendors who help us deliver our services, including subcontractors (plumbers, electricians, tile setters), suppliers (cabinetry manufacturers, appliance dealers), payment processors, email services, and IT providers. These parties are contractually required to protect your information and use it only for the purposes we specify.
With Financing Partners
If you apply for financing through our lending partners, you'll complete their application directly with them (not through us). We may share basic project information (scope, estimated cost) to facilitate your application.
- To comply with subpoenas, court orders, or legal processes.
- To respond to lawful requests from government or regulatory authorities.
- To enforce our contracts, terms of service, or protect our legal rights.
- To prevent fraud, protect the safety of any person, or address security issues.
In Business Transactions
If PlanBuild is acquired, merges with another company, or sells substantial business assets, your information may be transferred as part of that transaction. You will be notified before your information becomes subject to a different privacy policy.
With Your Consent
We may share your information for other purposes with your explicit consent — for example, if you agree to be featured in a project case study or provide a testimonial.
- Section 05
Data Retention & Security
How Long We Keep Your Information
We retain your personal information only as long as needed for the purposes described in this policy:
- Inquiry data (no engagement): Up to 24 months from your last contact.
- Active client project data: For the duration of your project plus 7 years (to support warranty claims and legal recordkeeping).
- Financial and tax records: Retained per Pennsylvania and IRS requirements (typically 7 years).
- Marketing preferences: Until you unsubscribe or request removal.
